POSITION:                 Administrative Assistant to the Vice President for Academic Affairs

REPORTS TO:           Vice President for Academic Affairs

SALARY RANGE:     Mid $40’s to $50k annually, depending on qualifications, and experience

RESPONSIBILITIES

Under general supervision, performs and completes a variety of tasks and assignments associated with support functions for the office of the Vice President for Academic Affairs.

Major Duties:

  • Performs and completes a variety of tasks and assignments associated with support functions for the Vice President for Academic Affairs;
  • Monitors use of and maintains supplies, equipment, and/or facilities for department;
  • Coordinates meetings and management activities;
  • Enters data from forms, records, reports and/or other sources into computer for purposes such as maintaining databases.  Uses complex software (i.e. database, spreadsheet, and graphics) as a tool for performing assignments. Completes incidental typing assignments, such as typing routine documents and performing mail merges;
  • Responds to departmental inquiries, questions or requests
  • Compiles data from various sources and completes the College’s ACA report at different times throughout the calendar year;
  • Performs and completes administrative tasks and assignments, which may include budget, procurement, contracts, inventory control, personnel, safety, security, records, etc.
  • Completes all assigned trainings in a timely manner;
  • Maintains and safeguards the confidentiality of documents, general files, and other pertinent information.
  • Participates in special projects and committees as directed by supervisor;
  • Other work-related duties as assigned by supervisor

MINIMUM QUALIFICATIONS

Bachelor’s degree in Business Technology or a closely related field AND one (1) year of work-related experience; OR an Associate’s Degree in Business Technology AND three (3) years of work-related experience.

NOTE:  Experience may substitute for the degree on a year-for-year basis.

TECHNICAL COMPETENCIES

  • Effective organizational, interpersonal, and customer service skills
  • Demonstrated attention to details and accuracy
  • Proficient computer skills in Microsoft Office, spreadsheet applications and other job-related software programs
  • Ability to operate different office equipment, such as telephone, fax machines, copiers, scanners, shredders, etc.
  • Knowledge of modern office practices and procedures
  • Effective oral and written communication skills
  • Effective problem-solving skills
  • Ability to prioritize and schedule tasks to meet deadlines and objectives

PREFERRED QUALIFICATIONS

  • Prior work experience in a postsecondary educational environment
  • Work experience using Banner
  • Work experience using KMS, the TCSG Knowledge Management System

PHYSICAL DEMANDS:

Work is typically performed in an office environment with intermittent sitting, standing, or walking in various settings. Will occasionally lift or move objects to a light to medium weight.  Full range of hand and finger motion may be utilized for data entry purposes. Physical requirements also include the ability to sit for extended periods.

State of GA benefits include: A choice of retirement plans (Georgia State Employees’ Pension and Savings Plan or Teachers’ Retirement System), health and flexible benefits insurance options, sick leave and annual leave accruals (10 hours each monthly), and 13 state holidays. This position is available to telework one day per week after 6 months of employment.
